COORDINATION

Hooray! You’ve planned most of your wedding, selected your vendors, and designed your wedding aesthetic. Now you need someone to manage all the little details and execute your vision. We begin working with you two months in advance in order to familiarize ourselves with everything you’ve worked hard to plan so that your special day looks, feels, and runs the way you envision.

 

BEFORE THE WEDDING

  • Meet up to six weeks before the wedding to clearly understand your vision and gather information about your vendors, design, and details.

  • Unlimited email and phone communication to offer guidance.

  • Produce and distribute a custom detailed timeline for you, your vendors, and your wedding party to follow.

  • Guidance to complete all necessary information for day-of coordination.

  • Ensure vendors submit required documentation and certificates of insurance if requested by your venue.

  • Liaise with your vendors, confirming final logistics.

  • Attend venue walkthrough to meet with venue contact and finalize remaining details.

 

WEEK OF THE WEDDING

  • Coordinate logistics with all vendors, communicating load-in and load-out times.

  • Coordinate logistics with the wedding party, family, and those involved in the ceremony, communicating arrival times and responsibilities.

  • Direct your wedding rehearsal.

DAY OF THE WEDDING​

  • Serve as your liaison for vendors day of the wedding, managing all vendor communications.

  • Greet all vendors as they arrive and manage their load-in, set-up, and tear-down.

  • Manage setup of tables/chairs/stage areas according to floor plan.

  • Oversee all details before the event including designing, styling, and set-up of decor not handled by a specific vendor (e.g. welcome table, signage, programs, favors, menus) according to your vision.

  • Distribute personal flowers to family, wedding party, and special guests.

  • Execute each item on your timeline so that your wedding runs accordingly.

  • Orchestrate and cue everyone involved in the wedding: wedding party, musicians, officiant, DJ, MC, etc. throughout the ceremony, cocktail hour, and reception to ensure your wedding flows smoothly according to the timeline.

  • Facilitate transitions between the ceremony, cocktail hour, and reception.

  • Troubleshoot and handle any concerns that may arise.

  • Coordinate all gifts and cards with the designated person.

  • Gather personal/decor items after tear-down and ensure they are given to the designated person.

  • Deliver final payments and tips to vendors as needed on your behalf.
